Documentation
Cancellation Policy
Luxury events involve reserved planning time, premium vendors, artists, materials, travel, and production commitments. This policy keeps expectations clear.
Planning Retainers
Retainers reserve The Royal Velvet planning capacity, design attention, and event date commitment. Once work begins, retainers are generally non-refundable.
Vendor Commitments
Payments made to venues, decor teams, artists, photographers, transport providers, hotels, production teams, or other partners follow their individual terms.
Cancellation by Client
If a confirmed event is cancelled, completed work, planning hours, design time, vendor commitments, purchased materials, and administrative costs may remain payable.
Postponement
Where feasible, confirmed services may be moved to a new date subject to venue, vendor, artist, hotel, travel, and production availability.
Date Change Costs
Date changes may involve revised pricing, rebooking fees, fresh vendor advances, transport changes, or material adjustments.
Partial Scope Reduction
If the event scale is reduced after confirmation, already committed resources, booked manpower, production, and vendor costs may still apply.
Weather or Venue Restrictions
Outdoor events, destination events, sound permissions, electricity access, rain plans, and safety rules depend on venue and local conditions. Alternate plans may require added costs.
Force Majeure
Government restrictions, natural events, public safety situations, illness outbreaks, transport disruption, or other circumstances beyond control may require rescheduling or revised execution.
Refund Processing
Any approved refund, if applicable, is calculated after deducting confirmed expenses, completed work, vendor commitments, platform charges, and taxes where relevant.
Written Confirmation
All cancellations, postponements, and major date changes should be communicated in writing for accurate records.
