Terms & Conditions
These terms protect clarity between the client, The Royal Velvet, venues, vendors, and production partners during a premium event engagement.
Service Engagement
Services begin after written confirmation, mutually understood scope, and advance payment or retainer where applicable.
Scope of Work
The agreed scope may include planning, decor, vendor coordination, hospitality, rituals, artists, logistics, production, photography coordination, or other selected services.
Proposal Validity
Concepts, estimates, vendor availability, artist availability, and venue-related pricing may change until confirmed through payment and written approval.
Client Approvals
Clients are expected to provide timely approvals for budgets, design directions, guest data, venue rules, rituals, layouts, and vendor selections.
Payments
Payment schedules are shared based on project size. Work, purchases, bookings, or vendor commitments may pause if agreed payments are delayed.
Scope Changes
Additional functions, guest count changes, decor upgrades, venue changes, timing changes, or new service requests may affect pricing and timelines.
Vendor & Artist Terms
Third-party vendors, venues, artists, hotels, transport providers, and production teams may have their own booking, cancellation, safety, and payment conditions.
Venue Permissions
Venue rules, electricity access, sound permissions, fire safety, local approvals, timing restrictions, and installation permissions remain subject to venue and legal requirements.
Event Day Execution
The Royal Velvet coordinates agreed services with reasonable professional care. Weather, force majeure, traffic, government restrictions, vendor delays, or venue constraints may require practical adjustments.
Media Usage
Event photos or videos may be used for portfolio only with client comfort and privacy in mind. Private or sensitive events can remain confidential when requested.
Confidentiality
Private family details, event plans, guest information, and sensitive brand information are handled with discretion by the authorized planning team.
Final Agreement
Final commercial terms, deliverables, and responsibilities are confirmed in writing before execution begins.
